Ekklesia uses personal data about living individuals for the purpose of general church administration and communication.

We are committed to ensuring that any personal data we hold about you and your family is protected in accordance with data protection laws and is used in line with your expectations. This notice relates to both data collected from you in person at church events, and also data collected by this website.

The processing of personal data here at Ekklesia is governed by the General Data Protection Regulation (the “GDPR”).

What data do we collect?

  • Name, date of birth and gender

  • Contact information such as email address, postal address and telephone numbers

  • Family relationships between our data (e.g. parent, child, grandparent)

  • Financial information relating to giving and gift aid (including bank details)

  • Parental consent forms for children and youth work (including medical and photo consent)

  • Additional details relating to volunteers, such as experience with children and references for DBS

  • Attendance records (registers) for certain groups

How do we process your personal data?

Ekklesia complies with its obligations under the “GDPR” by keeping personal data up to date; by storing and destroying it securely; by not collecting or retaining excessive amounts of data; by protecting personal data from loss, misuse, unauthorised access and disclosure and by ensuring that appropriate technical measures are in place to protect personal data.

 We use your personal data for the following purposes: –

  • To enable us to provide a voluntary service for the benefit of the public in a particular geographical area as specified in our constitution;

  • To administer membership records;

  • To manage our employees and volunteers;

  • To maintain our own accounts and records (including the processing of gift aid applications).

Sharing your personal data
Your personal data will be treated as strictly confidential and will only be shared with other members of the church in order to carry out a service to other church members or for purposes connected with Ekklesia. We will only share your data with third parties outside of Ekklesia with your consent.

Your rights 

Unless subject to an exemption under the GDPR, you have the following rights with respect to your personal data: -

  • The right to request a copy of your personal data which we hold about you

  • The right to request the correction of any personal data if it is found to be inaccurate or out of date

  • The right to request your personal data is erased where it is no longer necessary for us to keep it

  • The right to withdraw your consent to the processing at any time

  • The right to data portability (obtaining a copy of your data to re-use with another organisation)

  • The right to object to us using your personal data for particular purposes

  • The right to lodge a complaint with the Information Commissioners Office

Further processing

If we wish to use your personal data for a new purpose, not covered by this Data Protection Notice, then we will provide you with a new notice explaining this new use prior to commencing the processing and setting out the relevant purposes and processing conditions. Where and whenever necessary, we will seek your prior consent to the new processing.

Our principles of use

Under the obligations of the GDPR the data we hold is:-

  • Collected and processed for a lawful reason, and in a fair and transparent way

  • Only used for the purpose that we originally collected it

  • Limited to that which is necessary for the stated purpose (in other words, we don't collect irrelevant data)

  • Accurate and kept up to date

  • Kept only for as long as it is necessary

  • Kept securely whether it is held on paper or electronically
